These Terms & Conditions apply to all retreats, events, workshops, and immersive experiences hosted by Chivonne Monaghan (“we,” “us,” “our”). By reserving a spot on any retreat, you (“Client,” “Participant,” “you”) agree to these terms. Please read carefully, as they outline your rights, responsibilities, and the policies governing your booking.

This document constitutes the entire agreement between you and Chivonne Monaghan. No verbal agreements or other representations supersede what is written here.

Booking & Contract

Your booking becomes official only when:

  1. You submit the retreat registration form

  2. You pay the required non-refundable deposit

  3. You receive a confirmation email from Chivonne Monaghan

Please do not book non-refundable travel until you receive written confirmation.

Retreats are available only for participants aged 18 and older.

Deposits

A non-refundable deposit is required to secure your place.

  • Deposits may be paid until 60 days before the retreat start date.

  • Within 60 days of the retreat, full payment is required.

  • Deposits are non-refundable due to the need to reserve accommodation, meals, materials, and retreat expenses on your behalf.

Failure to complete your payment schedule may result in losing your spot.

Refunds & Cancellations

We understand that life happens. Our policy balances compassion with the financial commitments required to host a retreat.

If YOU cancel:

  • More than 60 days before the retreat:
    Your payments (excluding deposit) may be transferred to another retreat within one calendar year.

  • Less than 60 days before the retreat:
    All payments become non-refundable and non-transferable, as retreat expenses have already been secured.

Cancellations must be sent in writing and acknowledged by Chivonne Monaghan.

Balance Transfers

If you request a transfer 90 days or more before the retreat:

  • Payments may be moved to another retreat within 12 months

  • A $100 transfer fee applies

  • Transfers requested under 90 days cannot be accommodated

Pricing

Retreat prices are listed in USD, unless otherwise stated.

Clients are responsible for:

  • Currency exchange fees

  • Bank or credit card processing fees

  • Flight costs, travel insurance, airport transfers, visa fees, and optional excursions not included in the retreat package

We reserve the right to adjust pricing, but you will always be notified prior to confirming a booking.

Medical Conditions & Special Requirements

You must inform us of:

  • Medical conditions

  • Allergies

  • Injuries

  • Pregnancy

  • Accessibility needs

  • Mental health considerations relevant to safety

We will make every reasonable effort to accommodate you. However, we reserve the right to decline participation if your condition poses risk to yourself or the group.

Failure to disclose relevant information may result in being unable to participate in certain activities at your own expense.

Final Payments

Final payment is due one day before the retreat start date, unless otherwise stated.

If booking within 60 days of the retreat, full payment is required at the time of registration.

Late payments may result in cancellation of your reservation.

Cancellation by the Host (Chivonne Monaghan)

We reserve the right to cancel a retreat for any reason, including but not limited to:

  • Low enrollment

  • Safety concerns

  • Venue issues

  • Illness or emergency

  • Events outside our control

If a retreat is canceled (outside of extreme/unforeseen circumstances), you may choose:

  • A full refund, OR

  • A transfer to another retreat within one calendar year

We are not responsible for non-refundable travel costs, visas, time off work, or other expenses.

Travel & Health Insurance

Travel medical insurance is strongly recommended.
This includes coverage for:

  • Medical emergencies

  • Injuries

  • Evacuation

  • Trip cancellation

  • Lost baggage

You are solely responsible for securing this insurance.

Evacuation Procedures & Costs

In the event of injury or an emergency, evacuation or medical transport costs are the responsibility of the Client. Decisions related to safety are at the discretion of retreat leaders and must be followed.

Travel Documents

You are responsible for valid passports, visas, travel authorizations, and any required vaccinations.
We are not liable for losses related to missing or incorrect documentation.

Claims & Complaints

If an issue arises during the retreat:

  1. Notify your Retreat Leader immediately

  2. Allow us the opportunity to resolve the concern

  3. If unresolved, submit a written complaint within 30 days of the retreat end date

We will review and respond promptly.

Client Responsibilities

Participants agree to:

  • Follow retreat guidelines and safety instructions

  • Respect retreat spaces and fellow participants

  • Comply with all applicable laws of the hosting country

  • Not consume substances prohibited by retreat rules or venue policies

We reserve the right to remove any participant whose behavior is unsafe, disruptive, or inappropriate without refund.

Photos, Video & Content Creation

During retreats, images or videos may be captured for promotional use.

You may opt out by submitting written notice prior to the retreat.

Participants agree not to post images of others without their explicit consent.

Retreat Itinerary Changes

Retreat itineraries may be adjusted due to:

  • Weather

  • Venue limitations

  • Group needs

  • Safety concerns

  • Facilitator discretion

No refunds or compensation are issued for reasonable changes.

Data Protection

Personal information provided will be used:

  • To administer retreat logistics

  • For emergency contact

  • To communicate essential retreat updates

  • To provide post-retreat resources

Your information will never be sold and will only be shared with necessary vendors (e.g., accommodations, facilitators, emergency personnel).

Liability

By attending a retreat, you acknowledge that you participate voluntarily and assume all risks related to:

  • Physical activities

  • Yoga or movement practices

  • Nature excursions

  • Transportation

  • Environmental conditions

  • Emotional processing and group work

Chivonne Monaghan is not liable for:

  • Injuries

  • Illness

  • Loss of property

  • Third-party actions

  • Events outside reasonable control

Acceptance of Risk

Clients understand that retreats may involve physical activity, emotional exploration, and outdoor environments.
By booking, you voluntarily accept full responsibility for all associated risks.

Severability

If any part of these Terms is deemed unenforceable, the remaining sections will still apply.

Governing Law

These Terms & Conditions are governed by the laws of the Province of British Columbia, where your business is currently based.

Updates to Terms

These Terms may be updated at any time. The latest version will always be available on chivonnemonaghan.com. Continued participation signifies acceptance of the updated terms.
